The Real Estate Administrator’s primary responsibility is to support all real estate sales agents and compensate for fluctuating workloads as well as differing work schedules. The specific tasks required include the following:
 

  • Completion of real estate files as required pursuant to checklists – Listings / Sales / Closings / Expired and/or Cancelled Listings;
  • Preparation of all required OREA forms using Instanet Forms 2005 software including Agreement of Purchase and Sale (commercial / residential), Amendments, Schedules, Waivers etc.;
  • Search properties through Teraview Software;
  • Obtaining property information through RealTrack, GeoWarehouse and MPAC;
  • Input on MLXchange of new Listings and Listing Maintenance;
  • Reply to inquiries regarding current listings (telephone/fax/email);
  • Arrange and confirm appointments for showings of current listings;
  • Maintain Closing List and Conditional List;
  • Advise agents of upcoming conditional dates;
  • Assist agent in due diligence period on conditionally sold transactions;
  • Track listing expiry dates;
  • Review and sign off on all realty division accounts payable;
  • Order all required signage, their installation and removal;
  • Order and tracking lock boxes;
  • Prepare Trade Records and Invoices and forward to proper company for payment;
  • Maintain Sales, Revenue and Listing Journals;
  • Maintain Real Estate Sales Contacts Database and implement whenever possible;
  • Receive and circulate Monday Report on Retailers and maintain database accordingly;
  • Receive and distribute to all agents correspondence from the Ottawa Real Estate Board;
  • Maintain OREB Policy Manual and Membership News Binder;
  • Maintain up to date supply of real estate forms from the Ottawa Real Estate Board;
  • Track each agents license for expiry dates and renewals;
  • Tracking each agents credit requirements;
  • Prepare of all required forms for OREB and RECO regarding new agents and renewals;
  • Prepare all Commercial Leases, Amendments, etc
  • Make recommendations for the department and when authorized implement new policies and procedures.
  • Ensure familiarity with the OREB in order to better facilitate the department.

Skills Required:

  • Have at least 3-5 years of experience in the Commercial Real Estate Environment
  • Familiar with MLX, Geowarehouse, Word, Excel, Corel Draw
  • Ability to multi task and comfortable to work in a fast pace environment
  • Have experience preparing Leases and Amendments
  • High level of organization
